This Privacy Policy applies to information collected through our website, lead generation forms, communications, and related products and services, including the DialNexa platform and the DialNexa app for AI assistants.
Information We Collect
We may collect contact details such as your name, email address, phone number, company name, and any information you submit through forms, demo requests, lead generation forms, or direct communications with us.
When you use our website or platform, we may also collect technical and usage information such as IP address, browser type, device information, referral source, page activity, and interaction data needed to operate, secure, and improve our services.
How We Use Information
We use submitted information to respond to your enquiries, provide demos, deliver requested information, onboard and support customers, improve our services, send relevant product or service communications, and maintain the security and reliability of our website and platform.
If you submit a lead form or contact request, we may use your information to contact you about DialNexa products, services, demos, updates, and related business opportunities.
Lead Generation Forms and Advertising
If you submit your information through a DialNexa lead generation form, advertisement, or campaign, we will use that information to process your request, follow up on your interest in DialNexa, and communicate with you about our products and services.
Where required, we may rely on additional consent language or disclosure checkboxes included within the relevant lead form.
DialNexa App for AI Assistants (ChatGPT, Claude and other MCP clients)
Customers can connect an AI assistant, such as ChatGPT or Claude, to their DialNexa workspace through the DialNexa app. The connection is made by an authorised member of the workspace, who approves the access the assistant receives. It can be revoked at any time from the DialNexa dashboard. The assistant only receives data when it uses one of the app's tools on that member's behalf, and only for the workspaces the member approved.
Depending on the tools used, the assistant can receive:
- Workspace and account details: workspace name, billing plan, wallet balance, spend limits, the email addresses that receive billing alerts, whether account verification is complete, and call statistics shown as totals.
- Phone numbers: the numbers the workspace owns or rents, their nicknames, and which agents they are assigned to.
- Agent configuration: agent names, prompts, voices, languages, knowledge base and document names, and function settings. Credentials such as API keys and passwords are masked.
- Voices: the voice catalogue, including names and sample recordings of voices the customer imported.
- Call records: the phone numbers called or calling, call times, status, duration, cost, sentiment and post-call analysis results. On request, also the transcript, the summary, notes, and a time-limited link to the recording. Calls a customer has redacted return neither transcript nor recording.
- Call transfer outcomes, including the number that answered a transferred call.
- Prompt suggestions: recommended changes to an agent's prompt, with short excerpts of what the agent said on the calls they are based on.
- Leads for batch calls and workflows: phone numbers, names and the other columns the customer uploaded, notes, tags, and each lead's progress and call outcomes.
- Workflows: their steps and settings, including email addresses and message text used in email or messaging steps.
- Webhook and integration settings: webhook addresses and events, and which integrations are connected. Secrets are never returned.
- Assistant memory: business facts the customer confirmed, and past assistant actions and decisions. Member names and message content are not included.
The DialNexa app does not ask for, and must not be used to submit, payment card numbers, bank account numbers, government identification numbers, passwords, health information or biometric data.
Data about our customers' own callers and leads is processed on the customer's behalf and according to their instructions. When the lead name-cleanup tool is used, lead names are processed by our AI model provider to suggest corrected spellings. When a member requests a new integration through the app, the note they write is sent to the DialNexa team. Once data is returned to a connected assistant, its handling is governed by that assistant provider's own terms and privacy policy.
Sharing of Information
We do not sell your personal information. We may share information with trusted service providers, contractors, analytics providers, CRM or communication platforms, and other vendors that help us operate our business, provided they are subject to appropriate confidentiality and data protection obligations.
We may also disclose information where required by law, regulation, legal process, or to protect the rights, safety, and security of DialNexa, our users, or others.
Cookies and Analytics
We may use cookies, similar technologies, and analytics tools to understand website usage, improve performance, measure marketing effectiveness, and support site functionality.
You can manage cookies through your browser settings, though some parts of the website may not function properly if certain cookies are disabled.
Data Retention
We retain personal information for as long as reasonably necessary to fulfil the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements.
